INTRODUCTION

We are seeking to recruit a Receptionist/Administrator as soon as possible to work within the Pupil Services Team. You will be based at the Trowbridge school site.

We are looking for dynamic, well-organised and flexible people, with an aptitude for hard work and creativity, to appoint to this exciting post within our vibrant and inspirational school. This highly-valued role will be demanding and challenging but rewarding, where multi-tasking will be commonplace.

THE ROLE

The successful candidate must be an enthusiastic team player, with the ability to communicate effectively and efficiently with a wide range of stakeholders. The post holder will welcome all visitors to the school, manage a busy switchboard and process a variety of administrative tasks. The job also involves booking supply staff.

TERMS

Permanent contract

This job is available full-time or part-time, as a job-share. 

7:45am to 3:30pm with a 30 min lunch across 5 days a week

All contracts are Term-time plus inset days. 

SALARY

F9 – F11 £13.02-£13.69 per hour.

Approx. Salary on F9 = £21,167 for a 36hr and 15min a week contract.

Job Description

MAIN RESPONSIBILITIES

• Oversee Reception, ensuring that visitors and callers are dealt with in accordance with school procedures.

• Provide a professional and confidential secretarial service for the school including word processing of correspondence, reports, publications, and other documents as required. Us the school’s information management system (SIMS) as well as the school’s parent/school communication portal (ParentPay)

• Dealing with incoming and outgoing mail, timetables, registers and absences, lettings diary, staff sickness, post book, school meals, school events and outings, medical and dental visits, stock control, ordering of office stationery and consumables.

• Ensure that all data on SIMS and other school records and files remain up-to-date and all information retained meets the Data Protection legislative requirements. To ensure back-up systems for all electronic data and information systems are maintained.

• Undertake the necessary administration associated with the School’s intake of new pupils and pupils leaving the school, ensuring records are forwarded appropriately. Maintain pupil records appropriately ensuring confidentiality with such records.

• To be responsible for the maintenance of electronic and manual records including completion of returns, reports and statistics as required by the LEA and/or other third parties. To maintain at all times the utmost confidentiality with regards to such records.

• Organise and maintain the School diary, arranging appointments, and liaising with the Head Of Campus regularly to follow up on external and internal communication. Arrange meetings.

• Collate information from staff regarding absences and arrange for supply teaching/ teaching assistant cover in accordance with the School’s needs, including the necessary arrangements for employment checks, payment and maintaining records.

The post holder may be required to carry out duties other than those given in the job description, as requested by the school. Person Specification

Essential 

• Minimum of GCSEs Grade C or above (or equivalent), in Maths and English

• Willingness to undertake further professional development

• Experience which clearly demonstrates the ability to successfully work in a demanding Reception

• Managing workload and the ability to prioritise

• Multi-tasking to meet tight deadlines

• Effective and influential communications in person, by telephone and in writing
