We seek to appoint a Receptionist and Office Administrator for our College based in Twickenham.
Start Date: 3 June 2024
Working Hours: 36 hours per week (8am- 4pm) with some flexibility over hours. Term time only plus 5 Insets and potentially one further week in the holidays (up to 40 weeks per year).
Salary: Competitive dependent on experience
Contract term: Fixed term contract to August 2025 initially with likely option to extend
The Receptionist and Office Administrator will be part of a committed and enthusiastic team of support staff, providing exceptional support for learning and teaching at our college in order to provide a world class education for our pupils.
Key Responsibilities
- Acting as the first point of contact for the school, welcoming visitors, parents and pupils.
- Ensuring that all visitors are appropriately signed in and have the appropriate safeguarding checks.
- Answering and transferring telephone calls to the staff members and teachers.
- Responding to enquiries and taking messages accurately for members of staff and teachers.
- Communicating with parents regarding all aspects of school life, receiving or passing information between parents and teachers.
- Sorting and distributing incoming email and post.
- Receiving parcels and arranging deliveries when necessary.
- Ensuring that pupils sign into the school log when they arrive late or leave the school early.
- Managing room bookings.
- Providing for children’s personal needs such as attending in the first instance to those who are sick or hurt in accordance with the school’s procedures.
- Maintaining a welcoming and clean reception and office area.
- Other reasonable duties assigned by the Office Manager.
Administration/Reprographics
- Assisting with all administration duties such as photocopying, filing, updating records, etc.
- Monitoring of Admin support e-mail to allow service for the school community.
- Assisting with school events such as Open Days and Parent Consultations.
- Participate in staff and working group meetings and training as appropriate.
- Helping to manage the Booking meeting rooms when requested.
- Typing routine correspondence, data entry for school surveys.
You will have:

- Previous relevant experience, preferably within a school or working with children, or eagerness to learn
- Good organisational skills, with the ability to prioritise tasks, and manage your own workload
- Excellent communication skills
- A friendly, approachable demeanour with an adaptable and flexible outlook, with a willingness to work overtime and be available for emergency call outs, where required
- Excellent time-keeping and a responsible, reliable and mature attitude towards work
- A willingness to learn and develop
