At The White Horse Federation, we have a new position open for a Business Administration Apprentice to join a friendly team. As a Business Administration Apprentice, you will be an integral part of our organization, supporting various administrative functions essential for the smooth operation of our business. This apprenticeship offers a unique opportunity to gain hands-on experience while developing fundamental skills in business administration, communication, and organisation. Under the guidance of experienced professionals, you will contribute to the efficiency and effectiveness of our operations, while simultaneously pursuing a recognised qualification in business administration.

Job overview

• Assist with general administrative tasks such as filing, data entry, photocopying, and scanning documents.

• Manage incoming and outgoing correspondence, including emails, letters, and phone calls.

• Maintain office supplies inventory and ensure adequate stock levels at all times.

• Prepare meeting rooms and necessary materials for internal meetings and external appointments.

2. Customer Service:

• Respond promptly and professionally to inquiries from customers, clients, and stakeholders.

• Provide assistance and support to visitors, ensuring a positive and welcoming experience.

• Handle customer queries and complaints effectively, escalating issues as necessary to the appropriate team members.

3. Data Management:

• Input and maintain accurate records in databases and spreadsheets.

• Organize and update filing systems, both electronic and paper-based, in accordance with established protocols.

• Assist in the compilation and analysis of data for reporting purposes, ensuring data integrity and confidentiality.

4. Communication:

• Liaise with internal departments and external partners to coordinate activities and exchange information.

• Draft and proofread correspondence, reports, and other documents with attention to detail and accuracy.

• Contribute to the development of communication materials such as newsletters, announcements, and presentations.

5. Project Assistance:

• Support project teams with administrative tasks related to project planning, implementation, and monitoring.

• Coordinate meetings, schedules, and logistics for project-related activities.

• Assist in the preparation of project documentation, reports, and presentations as required.

Job requirements

• A minimum of high school diploma or equivalent qualification.

• Strong organizational skills with the ability to multitask and prioritize workload effectively.

• Excellent verbal and written communication skills, with a professional and courteous demeanor.

• Proficiency in Microsoft Office applications (e.g., Word, Excel, Outlook).

• Attention to detail and accuracy in data entry and record keeping.

• Ability to work collaboratively in a team environment and independently with minimal supervision.

• Eagerness to learn and develop new skills in business administration.
