Job Title: Attendance Administrator
Responsible To: Assistant Head

It is the job of the attendance administrator to accurately record the attendance of all our students (and staff) across the school by communicating with our remote teachers and working alongside our cover administrator to accurately record cover arrangements. This role will then crosscheck the data and highlight attendance issues to the attendance officer. Additional responsibilities include keeping student records up-to-date on our management system (SIMS) and checking and filing client contracts.

Responsibilities:

1. Liaising with teachers to record student and staff attendance
2. Crosschecking attendance data on SIMS with finance department
3. Working alongside cover administrator to accurately record cover arrangements
4. Track and record poor attendance
5. Working with the Assistant Head for Attendance to implement interventions of student’s attendance
6. Keeping student records on SIMS
7. Inputting and updating teacher timetables in to SIMS
8. Checking the pupil contracts and termination notices before being sent out by the bursar
9. Assisting with other educational duties
10. Dealing with queries from managers or staff
11. Support teaching staff where possible
12. General administrative duties as requested

Person Specification:

Essential

• Qualification at degree level or equivalent
• Experience in administrative duties, preferably with experience of SIMS within a school setting
• Accuracy and high levels of attention to detail
• Ability to work alone and with initiative
• Excellent organisational and planning skills and ability to multi-task
• Adaptable and flexible approach to work
• Willing to embrace change and challenge processes to improve efficiency
• Able to manage workloads and priorities and work under pressure
• A team player who is able to develop effective relationships with the team and work in partnership with others
• Excellent written and verbal communications skills
• Strong administration skills
• Good I.T knowledge of using Microsoft Office packages, Gmail, Google Drive, etc

• Able to manage stressful environments
• Able to be discreet and loyal

The job description is not an exhaustive list and there may be times when the Chief Executive Officer or Headteacher will require certain tasks to be undertaken that may not be listed here. These will always fall within the policies and procedures of TCW and within the remit of what may be expected in your role. There will always be a discussion between all parties on whether the successful candidate feels they can manage these extra tasks.

Extra information:

This is a PAYE, term time only contract with the exception of an additional 10 specified, out-of-term, office days (dates TBC in advance of the commencement of the school year). This role may also be entitled up to 5 days unpaid term-time leave per annum, to be taken in blocks of no more than 2 days at the discretion of the Headteacher.

The working hours are based on 08.00-17.00 with a 60-minute lunch break. You may be expected to work outside of these hours and office days if required to fulfil your duties. TCW reserve the right to hold meetings, social events and performances after these hours, which you would be expected to attend. This includes half-termly TCW training, which takes place from 16.30-18.30.

This role will be directly line managed by an Assistant Head with performance reviews happening at least once a term.

It is expected that all successful candidates will follow the policies and procedures of TCW at all times and conduct themselves in a manner that is deemed acceptable and appropriate by the CEO and Headteacher of TCW in accordance with the staff handbook.

All teachers and members of management will be required to meet the Ofsted criteria of good and always aim for outstanding as depicted in the Ofsted guidelines. Staff will be required to attend extra, unpaid training if they do not meet the criteria for good.
