EVENTS OFFICER – SIX MONTH CONTRACT (with a view to becoming permanent)

The Events Officer will split their time between the Marketing and Admissions Department (60%) and the Finance Department (40%) The role will be primarily focussed on the coordination and delivery of a wide range of both promotional and revenue-generating events.

We are looking for a highly organised, experienced team player whose approach is creative, collaborative and hands-on, and who is driven to succeed. They should have experience of delivering events on time and on budget, and should bring a wide range of administrative skills and competencies to the role, including knowledge of digital marketing and social media and proven experience of planning and delivering high-quality events.

The role will report to the Director of Marketing and Admissions, but with a “dotted line” to the Financial Controller.

Key Responsibilities (Marketing)

1.To work with the Director of Marketing & Admissions and Head of Admissions to plan and manage an annual programme of events in support of student recruitment, as well as ad-hoc celebratory events and fundraisers. Events may be on or off site. Attendance at these events is required, they may take place outside of core working hours on evenings and weekends. Transport is required. There may be occasions when the Events Officer will be required to assist with the organisation of reunion and networking events as managed by our Alumnae Officer.

 2. To work with Heads of Department in organising feeder school events, including Year 4 Workshops and taster days.

 3. To brief key members of staff and the Senior Leadership Team on event activity as required; including briefing notes for talks and speeches. To brief staff and pupils to support event activities such as stand management, tours and ushering, ensuring they are suitably presented during all interactions with event attendees.

 4. To project-manage and deliver new events as required, ensuring that each event is delivered to the highest standard on-time and on-budget.

5. To work closely with the Director of Marketing and the Digital Marketing Officer to ensure that all events are promoted via social media, newsletters and the school website.

6. To ensure that all event promotional material is of a high standard and adheres to the SWPS brand guidelines.

7. To undertake a comprehensive review of each event to evaluate success and identify future improvements; to collect event attendees feedback; reporting all key findings to the Director of Marketing & Admissions.

 8. To agree event promotional activity / campaigns with the Digital Marketing Officer; liaising with the wider Communications & Marketing Team to: a. Develop a suite of high quality, on-brand events materials;

 b. Promote events through agreed marketing channels;

 c. Produce collateral in line with brand guidelines;

 d. Manage press and PR.

 9. To ensure events are appropriately documented, for example, through photography, film, speaker interviews. Employing professional photographers / film-makers as required.

 10. To oversee event budgets and liaising with budget holders on a regular basis. Organising finances for the event including raising invoices and chasing payments.

 11. To undertake any other duties commensurate with the grade and scope of the post.

 Key Responsibilities (Finance)

1. To further develop existing holiday clubs in line with revenue strategy.

2. To co-ordinate all aspects of holiday clubs, including staff and contractor liaison and booking, marketing of clubs and activities, maintenance of bookings and communications with parents.

3. To expand the clubs offering, to include new activities and subjects (for example further sports).

4. For each club to agree a clear plan and strategy with finance and marketing, also including post completion analysis and review.

5. To ensure compliance with internal controls, administrative needs and safeguarding requirements.

Flexible working hours and an ability to travel are essential.
